Paul Schellenberg, Sponsorship & Development Manager at Vancouver International Fringe Festival, is organizing the Downtown Vancouver event at Granville 7 Cinema, the city's largest and likely highest profile event. Seating in the main theatre is 660.
Paul has approached us to share resources and to promote together as co-venues. Paul has access to sponsorship and media. He is helping us to
create a larger event than we had previously.
Paul's event: * Raising money for World Food Programme (free ticket with suggested donation of $5-10/person)
* MC'd Opening Ceremony with VIP welcome messages, short WFP video for the 30 minutes before Pangea
* Also videos and countdown clock before the screening
* Possible free drink, snack, free or cheap sandwich to attendees (everyone/anyone who donates to WFP)
* Limited 'thank you bags' for VIP contributors/sponsors
* People may be able to bring bag lunches
* Potential video linking lobby between his and our event
* 30 minute short wrap up program with limited speakers/commentors and open mike type
* Tickets (free) will be able to be picked up at a few establishments, TBD
* Official program
* Target market: Film, ethnic and arts communities, downtown business and the hip downtown crowd
Our event: * Raising money for World Food Network (through donations and our Silent Auction that Dea is creating)
* If our venue is ok with it, anyone who donates to WFN gets a lunch
* If our venue is ok with it, donated granola bars and juices for everyone
* If our venue is ok with it, ask general people to bring their own lunches
* Paul may get us a high profile speaker to introduce the screening
* Video from the lobby between his and our event
* Maybe show Pangea Day videos and a countdown clock before the screening
* Discussion afterwards - venue and facilitator TBD
-- The discussion afterwards may also have a series of speakers of
local programs people can get involved in
* We may have an after party for both venues to attend, perhaps located
somewhere half-way in between both
* Tickets (free) will be able to be picked up at a few establishments,
on the Drive
* Target market: Commercial Drive and surrounding area residents -
families, activists, young people, etc.
VENUE We were debating back and forth between Rio and VanEast Cinema.
Rio: Has all the tech requirements that we need to bring in the broadcast.
VanEast: Doesn't have the tech requirements that we need, but the owners
are open, friendly, and willing to book us.
Due to time constraints, as in, two weeks left to promote the event, and
we couldn't get in touch with the Rio decision-makers, we went with
VanEast. It seats approx 400 people and is costing $400 + GST (deposit
of $200). Personally, I think it's cozier and I'm glad we've got that one.
BROADCAST The current possibilities are:
* ICTV might carry it
* CityTV might carry it
(but we won't be able to bring a cable signal into the theatre)
* Bell Express Vu is giving us access to the program, so we are trying to figure out if we can make this work
* Barring that, we will need to find the funds to bring in a satellite dish. These are expensive.
SPONSORSHIPS * Paul is going to find sponsors for our venue and the flyers.
* Dea is still looking into getting additional sponsors for us as well, and will be working with Paul on this
MEDIA * Paul is working on getting stories and ad space in:
- Georgia Straight
- Metro
- Globe & Mail
- Vancouver Sun
- 24 News
- National Post
* Hedy, a new volunteer on our team, is going to send the Press Release
to any major papers not covered by Paul and to the local/grassroots
papers, including communities and different ethnicities. Emily, did you still
want to work on media as well? If yes, I will put you in touch.
POSTERS / FLYERS * Our posters are going to be joint between the two venues.
* 200 Full-Colour posters. Paul is going to put 20-30 at select
establishments. We are going to plaster the rest everywhere we can.
* 2500 flyers (postcard sized). We will plaster them everywhere.
* Paul is taking care of the graphic design and printing.
OTHER DEVELOPMENTS * New venues are listed as official on the main website, including Gallery Gachet
* The list of the 24 short films is up on the main Pangea (and soon on
ours). One of them is Canadian - yeah!
* Our first media: We are going to be on janera.com on May 5
* VanEast may give us 20 one-year theatre passes for a draw
TIMELINE * Press Release will be ready tomorrow
* Speaking with medias ASAP
* Aiming to have everything ready to go out into the streets for
Wednesday or Thursday: tickets, posters, flyers

9am Setup
11am - 3pm Pangea Program at the VanEast.
3:30-4:30pm Discussionlead by Betty Krawczyk from WorkLess. Possibly at Cafe Deux.
We are thinking of cancelling the after party concept due to time constraints and losing too many resources to the Burn party that night.
